Our Standard
Terms and Conditions
In order to provide clarity on what you can expect from us; it is necessary that we provide clear set of terms and conditions on how we intend to manage the process of delivering your project. We will assume that you have read these terms and in agreement with them; to which they become active once we have either started on site and or taken a deposit.
Definitions
Client – The individual instructing the works
MHHL – My Homely House Limited
Labour – The workforce will deliver the project Materials – Items that are brought for the project
How we Operate and Charge
With most construction / renovation companies; they typically add a mark-up (up to 40%) to the materials and charge less for their labour. The reason for this is on paper at least, it appears a lower labour rate is being applied.
We take the opposite view.
We would rather be paid a respectable amount per hour for our knowledge and expertise; be known the quality of our workmanship; while continuing to grow and maintain our reputation for being a reliable, high attention to detail, trusted delivery partner; than to be known for charging a lot for everything with low quality of delivery outcomes.
Alongside to this; we also believe in empowering our clients to be better informed so that can make better decisions. We achieve this by providing timely, clear and transparent billing with no surprises. Typically speaking, our invoices are divided into three sections; Labour, other services and Materials.
Labour

We have a set fee for our labour. Typically, we charge £50p/h per person due to the wide skill base and tools we keep and maintain. However, which is sometimes the case; we adjust our cost downwards providing it is the right client / right project. In terms of our billing, we start the clock from the moment we switch our engine off at your property and it stops the moment we leave it. This way you are only ever paying for our time while we are on-site.

Other Services

As we provide a wide range of services, sometimes it is necessary to do work off-site. Examples include but not limited to, designing and developing scaled drawings / procuring items / liaising with other contractors / collecting materials. In order to track this work, we record in the same way as the labour providing you with Start and Finish times for said works. Sometimes we might charge this at a lower rate than our standard labour costs as the tasks are often simpler; but we would advise on a ad-hoc basis.

Materials

Typically, this is where any materials we have brought for your project will be itemised and charged at cost (or in some cases a pro-rata cost if for example that part of a multi pack was used that is still useable for a future project). On first glance reading on how we charge for labour; we might appear expensive; but unlike most other contractors, we do not add any mark-up on items brought* In addition unlike other contractors we are happy to fit and use goods / materials you have purchased if desired.**

*Typically we do not charge for mileage to and from a client’s project if it is within 30 minutes of our office and or less than 10 miles – however we reserve the right to add in a claim for fuel / mileage for collections of materials and or bespoke client requests which means we do unforeseen mileage and or if the client lives geographically over 10 miles from our office location of Staines upon Thames.

**If buying your own goods / materials; while we are happy to install them on your behalf; please be advised that we take no responsibility for the goods / material should they prematurely fail and or are not fit for purpose as we would have assumed you have adequately researched and vetted everything for durability prior to purchase and fully checked for any product defaults. 

Incremental Invoicing and Final Invoicing
During the project we will provide ‘incremental’ invoices which are provided on a daily basis. Incremental Invoices are for your records only and provides you with the opportunity to check and query any charges you are not happy with as well as helping you to keep track with the expenditure. ‘Incremental’ invoices are not payable.
Working to a Budget

With some clients they are working to a strict budget or limited means - while we do not offer any form of credit, if the project involves multiple tasks, we will on the incrementation invoice record time and works produced and will monitor the spend as we go. In some case where applicable we will adjust our hourly rate and or 'value engineer' other tasks to keep the total budget in check. 

Once either 1 weeks work or the project has been completed; a final invoice will be sent which will be then be payable.

How we Cost Projects
Quotations

As the name implies, with a ‘quote’ legally we cannot adjust our pricing at any point during the project delivery, unless you agree to it. For our business model this is a high risk; for example; material cost increases during a project delivery; we as a business would not be able to charge you the client for this occurrence and would leave us exposed to market changes. It is for this reason we will never provide quotations to clients. While quotes provide pricing certainty, often contractors will apply up to 40% on materials to absorb market fluctuations which often turns into hidden extra profits. We prefer to charge for our expertise than to charge for hidden profits.

Estimates

As we have been operating in excess of 3 years we have collected metrics on all of our projects. As such we can provide typical labour cost based on average hours taken and expected material costs.

With estimates, we would reserve the right to adjust our costs to reflect changes to client design specification and or changes within the market.

We would of course notify you of any upward costs and or outline price changes in our incremental invoice which provides you with the opportunity to review in a timely fashion before final invoicing is sent in for payment.

With the installation itself we will often try to provide cost saving ideas and options that can be applied to the project - for example the use of reclaimed material which can sometime save as much as 50% off for like for like virgin materials - we will of course liaise with you on the pros and cons so you have line of sight of costs and how they are being applied.

Window Costs

With some of our clients they are sometimes unsure as to what it is they want; or have a limited budget with a variety of ideas; or the client has not all the information to hand to decide upon. All of our estimates show full breakdown of costs and we can supply best and worst case pricing based on what we know and have seen.While we do our best to provide accurate estimated prices during the 'Mobilisation and Discovery phase' of the project these costs will need to be revised if the scope of the project changes or unforeseen issues arise which requires remedy to continue.

Transparency

With both our Estimates and Window Costs, to the best of our abilities; we will provide a breakdown of all known project costs so you have clear visibility on how your budget will be spent. On occasions we may provide sketches / scaled drawings and or methodology to help explain / illustrate the works.

Please Note

Any supplied costing are only valid for 30 days from the date of being sent. After which MHHL reserve the right to supply revised pricing.
Booking Us
Assuming you wish to appoint us to be your trusted delivery partner, we will work with you to find a suitable start date; once appointed we will then start to mobilise the project which often starts with creating a set of plans / procuring goods / materials for the agreed start date.

If for any reason you are unhappy with any aspect of our delivery; we encourage you to inform us at the earliest opportunity so that we can address any concerns early on and help manage expectations. We also encourage you to inform us of any concerns before we submit
the finalised invoiced.
In terms of raising concerns, typically the best way is to document them via email so that we all have records. Please email us on contactus@myhomleyhouse.coso we can investigate further.
In the absence of that, if verbalised to us; we will document all concerns and email them over with any ‘incremental’ invoices.
Guarantees
The MHH team understand that when choosing your trusted delivery partner there is a element of nervousness over what happens during and after the project has been completed.
We offer coverage against materials and installation defects for 12 months*

MHHL want all their clients to feel that they have not received excellent care – Our Terms and Conditions set out what to do should you have an quality concern but also outlines the take extra steps taken to ensure you are happy during and after the work has been completed.

With every project we undertake; we aim to provide the best possible outcome. Typically, we will ‘de-snag’ our projects as we go; so that when we submit our finalised invoice all quality issues would have been addressed long in advance.

In the rare event a problem arises; they will investigate any concerns and if the fault to be theirs, they will correct any issues (in accordance with the terms and conditions)**

*Please Note: This coverage lasts for 12 months and starts from the first day of being on-site. It is assumed that any reported issues are a direct result of either poor installation or material failure. This guarantee does not cover general or over use, wear and tear or accidental damage by users and residents of the property. 
**Please refer to the section 7 within 'terms and conditions of sale' titled ‘raising a complaint’ on how to report a concern.

Our Terms And Condition Of Sale
Section 1 - Estimates and Window Pricing
  • Our Estimates and Window Pricing are valid for a maximum period of 30 days from date of issue. If the project has not been formally booked in within this timeframe; we reserve the right to revise any provided costings
  • We reserve the right that during project we can increase our costs if we are exposed to changes in the market – for example but not limited to changes taxation / inflation / market uncertainty and market volatilities - or if the specification of the agreed project changes. 
Section 2 – Deposits
Typically, if a deposit has been received, we have committed to one another with the intention to work on a project together. In the event you wish to cancel the project:
  • If no materials have been brought we will refund 50% of the deposit amount.
  • If materials have been brought, the costs will be deducted from deposit amount and 50% of the remaining amount will be refunded. In the event the material costs are greater than the deposit amount an invoice will be raised for the balance along with a 25% admin of the total material costs to cover any admin costs.
  • If we for some reason need to cancel the project we will refund 100% of the deposit.
Section 3 – Billing for time and materials
  • We reserve the right to charge for all labour and materials along with any additional time that has been generated due to changes to the design specification / collection of materials.
  • In terms of our agreed hourly fee and how that is applied to billing in general practice we always round up to the nearest hour; so for example if a task took 1 hour and 15 minutes we would bill for 2 hours. 
  • As we do not charge a call out fee - (even for undertaking site visits to estimate projects) - we have a minimum charge of 2 hours at our standard labour rate. This covers the cost of estimating / travelling and cost of initial contact if your project was was found on a paid for advertising website such as Mybuilder or Bark. 
  • At our discretion, we might round it down our invoiced hours to the nearest hour subject to other co-current works and or regular long-term works from clients.
Section 4 – Paying invoices
  • Once we have submitted a final invoice, we request that the total amount due is paid within 7 days of sending – unless agreed otherwise in writing from us
  • Our company banking details will be on all invoices
  • We expect that the total amount owed will be the total amount paid
  • Any underpayments of an owed balance will incur a daily rate of interest of 16% apr which will be calculated on a daily from the 8th day
  • No late payments will be accepted unless authorised by us in writing before the invoice was sent out
Section 5 - Ownership rights
  • MHHL reserve the right to reprocess any materials used and or undo any work done if the invoice remains unpaid for a period in excess of 30 days and or;
  • MHHL reserves the right to instruct legal proceedings to recover funds owed should invoices remain unpaid for longer than 30 days. This includes but not limited to, lodging court proceedings and or appointing our trusted 3rd party debt recovery agency. Such proceedings risk damaging your credit score and financial status if instructed and successful.
Section 6 - Recovering owed funds
  • MHHL reserve the right to reprocess any materials used and or undo any work done if the invoice remains unpaid for a period in excess of 30 days and or;
  • MHHL reserves the right to instruct legal proceedings to recover funds owed should invoices remain unpaid for longer than 30 days. This includes but not limited to, lodging court proceedings and or appointing our trusted 3rd party debt recovery agency. Such proceedings risk damaging your credit score and financial status if instructed and successful.
Section 7 - Raising a concern
  • With every project we undertake, no matter how big or small, we only wish to provide you with a satisfactory outcome where you are left happy with the outcome. In the event you are unsatisfied with our service in any way we advise you to take the following steps which forms our complaints procedure:
Step 1 – In an email, list out all the areas of your complaint. Focus on the concern and if possible provide what you consider to be the outcome you are ideally after that will remedy the situation. Please email your concerns to : contactus@myhomleyhouse.com

Step 2 – Once MHHL has received your email – it will investigate the alleged concerns. It maybe necessary to request photographic evidence and or re-visit the property in order to obtain photography / assess the nature of the complaint and / or speak with yourselves to gain a complete understanding / ask additional question. MHHL will endeavour to complete this process within 28 days / 1 month (whichever is greater) and provide a response.

Step 3 – Should you remain unsatisfied with the response given you can appeal our previous response providing you can provide details as to your objection and why is it unsatisfactory. Upon receiving this email MHHL will re-investigate your claim and respond within 28 days / 1 month (whichever is greater) and provide a response. Our response given at this stage will be final and no further resolutions will be offered.
  • When raising a complaint, we expect that previously and throughout the duration of the project; you have been co-operative and communicative with us and responded to any raised queries in a timely fashion.
  • When raising a complaint, we expect that all outstanding invoices have been settled.
  • We also expect that during the complaints procedure and while investigations are being undertaking; that no negative posts are shared on any websites and or social media platforms that might otherwise jeopardise or influence the outcome any such investigation and remedial works. Such a breach means MHHL reserves the right to refuse to investigate and or instruct legal proceedings for liable and loss of business.
